Microsoft Copilot vs. ChatGPT vs. Claude: Which AI Tool Is Right for Your Business?
We use all three of these tools daily — with our own team and with clients. Each one has a distinct set of strengths, and choosing the wrong one for a given task means leaving real value on the table. Here's a practical breakdown based on actual use, not benchmarks.
PCI Consulting Group offers AI readiness and integration services — helping businesses assess whether AI fits their operation, implement the right tools, and use them safely.
Microsoft Copilot
Copilot is Microsoft's AI layer built directly into Microsoft 365 — Word, Excel, Outlook, Teams, PowerPoint, and SharePoint. If your business already runs on M365, Copilot is the most naturally integrated option because it works inside tools your team already uses.
- Best for
Businesses already on Microsoft 365 who want AI assistance inside their existing workflow — drafting emails in Outlook, summarizing Teams meetings, building Excel formulas, generating PowerPoint slides from notes
- Pricing
Microsoft 365 Copilot is $30/user/month on top of your existing M365 subscription. That's significant — make sure you have specific use cases before committing
- Key advantage
Context-aware across your M365 environment — it can reference your emails, documents, and calendar when generating responses
- Limitation
Requires a qualifying M365 plan and minimum seat count. Not as strong for open-ended reasoning or complex analytical tasks outside the M365 ecosystem
ChatGPT (OpenAI)
ChatGPT is the tool most people think of first when they hear "AI." It's the most widely used and has the largest library of third-party plugins and integrations. GPT-4o, the current flagship model, is capable across a broad range of tasks.
- Best for
General-purpose business tasks — content creation, customer communication drafts, research summaries, coding assistance, brainstorming. Also strong for building custom GPTs that can be used by a whole team.
- Pricing
Free tier available with limitations. ChatGPT Plus is $20/user/month. ChatGPT Team (for businesses) is $25–$30/user/month with better data privacy and admin controls.
- Key advantage
Broad capability, wide ecosystem of integrations, and a large community of resources for business implementation. Custom GPTs let you build tailored tools without any coding.
- Limitation
Data privacy concerns on the free tier — your inputs may be used to train the model unless you opt out or use the Team/Enterprise plan.
Claude (Anthropic)
Claude is Anthropic's AI model and the one we rely on most heavily for complex reasoning, nuanced writing, and tasks that require careful judgment. It's particularly strong when the prompt is detailed and the stakes of a poor output are higher.
- Best for
Analytical tasks, long-document analysis and summarization, complex writing that needs to sound like a specific voice, policy development, and any situation where reasoning quality matters more than speed.
- Pricing
Claude.ai Pro is $20/user/month. Team plans are available. API access for building custom tools is consumption-based.
- Key advantage
Stronger at following nuanced instructions, less likely to produce confidently wrong answers, and tends to handle edge cases and caveats more honestly than other models.
- Limitation
Fewer third-party integrations than ChatGPT. Doesn't have the native Microsoft 365 integration that Copilot provides.
How to choose
Your team lives in Microsoft 365
Start with Copilot — the integration advantage is real. Add Claude or ChatGPT for tasks that go beyond the M365 ecosystem.
You want one general-purpose tool with wide compatibility
ChatGPT Team is the most versatile choice. Largest ecosystem, solid privacy controls on the business plan, and custom GPTs are a genuine productivity multiplier.
You need AI for complex analysis, writing, or reasoning
Claude is the strongest choice for tasks where quality of output matters most — detailed documents, policy work, analysis of long or complex material.
You're not sure where to start
Most of our clients end up using two tools: Copilot for M365 tasks, and either Claude or ChatGPT for everything else. You don't have to pick just one.
Our recommendation for most SMBs
Don't overthink the tool selection. Pick one, use it consistently for a specific task for 30 days, and measure whether it actually saves time. The best AI tool is the one your team actually uses well — and that usually means starting with the simplest implementation that solves a real problem. PCI Consulting Group can help you identify the right starting point for your team and set it up in a way that doesn't create security or compliance exposure.
